Omni (RMS) is the dedicated recruitment partner of Baywater and will be managing the recruitment process on behalf of Baywater, including the applicant portal – Appellia

What personal information will be collected? 

Both Baywater and Omni RMS take great care to ensure that the information it holds about you meets legal, statutory and contractual obligations and is held securely.  This includes having appropriate procedures and practices in place to ensure your personal information is protected.  


We will collect personal information that you provide as part of the application and recruitment process.  


This may include your:  

  • Name 

  • Address 

  • Contact information  


  • Employment details including salary  

  • Curriculum Vitae (CV) 

  • Eligibility to work in the UK 

We collect information in the following ways  

  • Online application form (including CV upload)  


  • Over the phone/ in person  

  • Recruitment Agencies. 


Background screening  

Baywater will run pre-employment checks if an offer of employment is made.  Baywater will make contact at the point of offer in order to commence the process of further background checks. 


Equal opportunities monitoring  

As part of Baywater’s commitment to employing a diverse workforce, we will send you an equal opportunities form by email at the point of application submission.  The completion of this questionnaire is entirely optional.  All information collected is done so separately and anonymously and is not linked in any way to your application Further information on how this data is collected and used will be provided at the point of collection.

Omni and Baywater take your privacy very seriously and will never disclose, share or sell your data without your consent, unless required to do so by law. We only retain your data for as long as is necessary and for the purposes specified in this notice. The purposes and reasons for processing your personal data are detailed below:

Sharing and Disclosing Your Personal Information 

We do not share or disclose any of your personal information without your consent, other than for the purposes specified in this notice or where there is a legal requirement. 


Omni and Baywater use third parties to provide the below services and business functions. However, all processors acting on our behalf only process your data in accordance with instructions from us and comply fully with this privacy notice.


Our Service Providers

This includes external third party service providers such as accountants, auditors, legal advisors and other outside professional advisors; IT systems support and hosting service providers; technical engineers; data storage and cloud providers; internal reporting software providers, recruitment agencies  and other similar third party vendors and outsourced service providers that assist us in carrying out our business activities. 


One of our third party suppliers is a company called Starred who provide an online feedback system of a candidate’s recruitment experience. Omni use your name and email address to contact you to capture your views on your experience. Your feedback on your experience is really important to us and the data we collect will be used to measure candidate experience and to ensure we continually improve our processes. International Transfers of Personal Information  

Personal information which you supply to us is generally stored and kept inside the European Economic Area.  However, due to the nature of the technologies required, your personal information may be transferred to third party service providers outside the EEA.  In such situations, Omni transfer the minimum amount of data necessary, anonymise it where possible and enter legal contracts to aim to ensure those third parties handle your personal information in accordance with this privacy policy and European levels of data protection. 


Technical and Organisational Measures 

Omni and Baywater take your privacy seriously and we take every reasonable measure and precaution to protect and secure your personal data. We work hard to protect you and your information from unauthorised access, alteration, disclosure or destruction and have several layers of security measures in place.


Consequences of Not Providing Your Data  

You are not obligated to provide your personal information to Baywater or to Omni; however, as this information is required for us to consider an application; we will not be able to consider you for vacancies without it. 


How long will you keep hold of my information? 

If your application is successful, the applicant portal (Appellia) will store your information for a period of 12 months.  Your application will then be deleted.  As a Baywater employee, Baywater will continue to process your information for the duration of your employment and retain your information in line with the record retention policy.  


If your application is unsuccessful your application will be deleted after 12 months.  


Special Category Data  

Owing to the services we offer, Baywater may need to request sensitive personal information from you in order to provide work finding services (and to conduct the necessary pre-employment checks) and enabling employment (Article 6(1)(f) and Article 9(2)(b) of the GDPR). Where we collect sensitive personal data, we will only request the information required for the specified purpose. 


Lodging a Complaint 

Omni and Baywater only process your personal information in compliance with this privacy notice and in accordance with the relevant data protection laws. If, however you wish to raise a complaint regarding the processing of your personal data or are unsatisfied with how we have handled your information, you have the right to lodge a complaint with the supervisory authority – ICO.
